Job Summary
We are seeking a detail-oriented HR Administrative Assistant to provide essential support in onboarding, offboarding, employee records management, and compliance tracking. This position plays a key role in maintaining HR documentation, performing audits, tracking employee data, and ensuring adherence to company policies. The ideal candidate is highly organized, proactive, and capable of handling multiple administrative tasks in a fast-paced environment.
Key Responsibilities
Daily/Weekly Responsibilities:
- Conduct onboarding task audits and assist with new hire processing.
- Process termination paperwork, manage related emails, and update HRIS and Smartsheet trackers.
- Perform HR data audits, including personnel files, job descriptions, and HRIS profiles.
- Manage job postings, update job classifications, and sunset outdated roles in HRIS/ADP.
- Process manager changes and expense reports in HRIS and Concur.
- Assist in compliance audits, including I-9 deletions and termination audits.
- Draft and file pay change, title change, and bonus letters in employee records.
- Coordinate with Recruiting, IT, and Training teams regarding new, updated, or sunset positions.
Monthly Responsibilities:
- Update and distribute grade files and job title reports to key stakeholders.
- Send monthly PIP/LCA emails to HR managers.
- Track and follow up on leave of absence (LOA) cases and compensation changes.
- Conduct monthly manager flag and remote work arrangement audits.
Additional Responsibilities (As Needed):
- Conduct yearly HR audits, including 2024 Term Audits, HCC audits, and expense audits.
- Perform rehire file audits and data verification tasks.
- Support HRIS data updates, training research, and CBCE-related follow-ups.
Qualifications & Skills
- Strong organizational skills and attention to detail.
- Experience in HR administration, compliance, or record management is a plus.
- Familiarity with Oracle, ADP, Workday, and Smartsheet (preferred).
- Ability to prioritize tasks, meet deadlines, and manage confidential information.
- Excellent communication and collaboration skills to interact with multiple departments.
