We are currently seeking a Service Administrator. The ideal candidate will be responsible for the efficient delivery of services and customer satisfaction in the service department.

- Organize and maintain the service department’s schedules.
- Coordinate appointments for service technicians.
- Track staff availability, ensuring adequate coverage.
- Act as a first point of contact for customers, handling inquiries, complaints, and follow-ups.
- Ensure that customer concerns are escalated to appropriate staff.
- Facilitate communication between customers and technicians.
- Maintain records of all service activities, including job orders, service logs, and parts inventories.
- Ensure accurate data entry and filing of service-related documents.
- Track inventory levels for parts and supplies, initiating orders as needed.
- Maintain records of parts usage and update stock records accordingly.
- Prepare and process invoices for completed jobs.
- Track payments and coordinate with the finance department to manage outstanding balances.
- Identify inefficiencies in service workflows and suggest improvements.
- Collaborate with department heads to streamline processes for better productivity.
- Maintain records of safety training and certifications.
- Prepare reports on service performance, including job completion times, customer satisfaction, and costs.
- Use data to analyze performance trends and identify areas for improvement.
- Assist in onboarding new staff and coordinating training sessions.
- Provide administrative support to ensure all staff are up to date on policies and procedures.
To be successful in this role you should also have strong organizational skills, good attention to detail, and strong communication skills. Proficiency with common office software programs such as Excel, Adobe and Bluebeam.
